Procom vs OmTrak: O&M Manual and Handover Software Compared

This comparison covers Procom Solutions and OmTrak on construction handover and the Defects Liability Period (DLP), typically the first 24 months of an asset's life. Procom is a handover-and-DLP specialist; it is not a long-term facility management (FM/CAFM) platform.

The short answer

Choose OmTrak if you want one vendor across construction documents, handover and ongoing facility management, or you already run projects in Procore. Choose Procom if your problem is getting O&M manuals and handover documentation finished on time, and managing defects through the DLP, particularly on Australian Defence projects.

If your evaluation extends to preventive maintenance scheduling, lifecycle asset planning or 1–50 year forecasting, those needs are met by different tools. Where Procom doesn't compete points you to them.

Where OmTrak genuinely beats Procom

  • Reach. OmTrak runs in several countries and has done since 2001; it says 3,500+ projects worth over $250 billion. Procom works in Australia only.
  • FM and lifecycle. OmTrak FM and MPlan extend the same vendor into ongoing maintenance and long-term planning. Procom stops at the end of the DLP.
  • Hyperlinked PDF. OmTrak's manuals are delivered as searchable PDFs hyperlinked across the whole manual. Procom exports more formats, but each file is flatter.
  • Digital twin and BIM. OmTrak markets asset alignment with BIM models and digital twins. Procom's asset register is configurable but not digital-twin native.
  • Procore and certification. OmTrak has a Procore Marketplace app and published ISO 27001 and ISO 9001 certification, which some procurement processes require.

Where Procom genuinely beats OmTrak

  • Defence handover depth. The Defence OMM and HOTO Evidence Folder templates are built in, and every HOTO item carries context help drawn from the v7.3 checklist, so a subcontractor can see what evidence is required without emailing the project manager. Exports over 200 MB split automatically into volumes per SEG v2.0, each with its own cover page, contents and revision history. See Defence O&M with Procom.
  • Named approval workflows. Five workflow types, including a Defence four-tier workflow with Consultant HOTO and SME dual approval, rather than one generic review step.
  • Getting trades to upload. Each manual section has its own QR code, and trades can join three ways: existing login, access code, or request access. Uploads are virus-scanned, PDFs are optimised, and every file is version-controlled.
  • The DLP in the same system. Defects are raised from a phone, weighted low to urgent, chased with reminders and escalated automatically when overdue. DLP-period work orders sit alongside them, and each defect links back to its manual section. See DLP tracking.
  • Audit trail. Every workflow assignment, state change, comment and action is logged by project and by company.
  • A local team that also does the work. Procom can compile the manual for you as a service, not only supply the software.

Where Procom doesn't compete (and the alternatives)

Procom does not provide preventive maintenance scheduling, CAFM-grade central asset registers, or calendar-driven scheduled work orders for year-2-plus FM operations. If you need a single vendor for handover + ongoing FM, OmTrak's FM product (sister product to OmTrak Construction) is purpose-built for that scope. Procom's DLP and Work Order modules cover the 12–24 month defects window, but they're not designed to replace a long-term FM system. We'd rather you choose the right tool than the same tool.

What's the right buying lens?

If you're buying for... Choose
Defence handover with HOTO and OMM compliance Procom (specialist depth)
Commercial handover where documentation is the bottleneck Procom
Handover + ongoing FM in one vendor OmTrak (WebFM stack)
O&M manual as a living document past handover Plexa
DLP-only standalone tool DLPManager
Lifecycle planning (5–50 year horizon) MPlan / WebFM Consulting
Enterprise scale across many projects Aconex or Procore, with Procom for the handover layer

If you are still not sure, take a live project and ask both vendors to show it in their platform. That will tell you more than any comparison table.

Frequently asked questions

Is Procom a good alternative to OmTrak?

For construction handover and the Defects Liability Period, yes, especially on Australian Defence projects where Procom ships the OMM templates, HOTO checklist help and automatic SEG volume splitting. If you also want one vendor for long-term facility management after the DLP, OmTrak's FM product covers that and Procom does not.

Is OmTrak or Procom better for O&M manuals?

Both build O&M manuals progressively with subcontractor input and online review. OmTrak delivers a searchable, hyperlinked PDF and feeds asset data to FM systems. Procom offers more export formats (PDF, DOCX, LaTeX, HTML, XLS), named approval workflows including a Defence four-tier workflow, and QR-code onboarding for trades.

Does OmTrak work with Procore?

Yes. OmTrak lists an app on the Procore Marketplace for building O&M manuals from Procore projects.

Which one is better for Defence projects?

Both work on Defence projects. OmTrak lists the Department of Defence among its clients and offers Defence consulting for HOTO. Procom is built around the Defence handover: OMM Buildings and Base Infrastructure (V2.0) templates, HOTO Evidence Folder templates with item-by-item checklist help, a Defence four-tier approval workflow and exports split into volumes per SEG v2.0.

Does Procom do facility management after handover?

No. Procom covers construction handover and the DLP, including defects and DLP-period work orders, typically 12 to 24 months after practical completion. For preventive maintenance scheduling, CAFM-grade asset registers or lifecycle planning, use a dedicated FM system; Procom hands the data off to it.
